Introducing PowerPro 2025

Our team has been working hard to bring you the 2025 update bringing you more automation and customisation options, let’s explore the improvements and additions we’ve made!

An image is worth a thousand words. The first thing you will notice in PowerPro 2025 is its new skin. This skin matches the palette of colours used by the PowerPro logo for a more consistent look across the board.
Other skins are still available should you prefer a different look for PowerPro 2025.

Please find our FAQ with instructions to update to 2025 here

Compliance

The Continuous Improvement Register has a new structure to meet the new Standards for RTOs coming in July 2025. The ‘Standards' dropdown menu showing the new Outcome Standards, Compliance Requirements and Credential Policy.
This is a big update as the standards have been unchanged since 2015.
You can find more details about these changes on the ASQA website here

See the screenshot below showing how the new Standards dropdown works - even autofilling the standard’s description for you!

In Qualification Rules we have renamed the ‘transition date’ field to ‘end/deleted date’ and removed the 'teach out’ field.

We have also included a very handy button in Qualification Rules ‘Open in TGA’ if you click this it will open a webpage for that national code course on the TGA website! Super handy.

For our RAPT users we have added the feature of being able to override the TRS number for specific units in an enrolment - this is handy for when trainees change training centre during their training journey.

Reports

  • Statistics Reports > Breakdown Stats - This report has had Indigenous Status indicators added to assist RTOS with ASQA self assessment reports.
  • Statistics Reports > Monthly Counters - with totals for each month for: courses commencing, new enrolments, course completions, Quals/ROR issued, SoAs issued, CoAs issued, unit commencements, unit completions, total value invoiced, Enrolment Expected Starts and Enrolment Expected Ends.
  • Company Reports > Current Clients Report - New report that is similar to the Current Clients Report found under Client Reports but for specific companies and shows expected start and expected end dates.
  • Company Reports > Active Client Companies Report - New report that lists: Active Companies, Contact Person, Phone, Address, Balance, Current Clients and Total Clients.
  • CRICOS Reports > Current Enrolments by Education Agent - New report that lists: Current Clients, Client IDs, Agent Commission, COE Start/COE End, Units Completed and Last Unit Completed with a total count of the number of clients.

Web Plugin Improvements

New minimum participants field for courses which is updatable under course details (if using this feature we recommend updating for all your current courses and your master courses).

You will be able to see from the Enrolments and Results screen the seats left, for courses with a minimum entered underbooked courses will show as yellow (seen below in our screenshot) green is courses with seats still available and red is overbooked.

Along with improved data integrity between Web Course Fees and Payment options as such courses marked as payment disallowed will be the only option for $0 courses. The Web enrolment form will now also capture emergency contact details and middle names for USI verification purposes.

Automation

Sky clients with the web plugin can now choose between automatic or manual downloads for their enrolments and web course list syncing. Please note if automatic downloads are activated then the manual download action will be disabled. This is a fantastic new feature that will mean that users will no longer have to perform manual web syncs to make sure that their course numbers are accurate and will help stop courses from becoming overbooked.

No more messing around with FTP settings etc or having to bother your I.T. team because the security settings are blocking access!

PowerPro API

PowerPro's API (Application Programming Interface) feature allows your RTO to develop your own integrations between PowerPro and your other systems such as your CRM/LMS.
You can also retrieve data on your students/courses/enrolments in PowerPro for analysis or to share with other systems.
You can view the API calls made in PowerPro under Tools > API Usage.
To learn more about our API check out our FAQ articles here and on PowerPro's API website here

Miscellaneous Improvements

PowerPro is now optimised to work with 1920 x 1080 pixels resolution and 100% scaling, if your system is not optimised to these settings a warning will popup . Any windows wider or taller than the screen size will be resized automatically and scroll bars added for ease of access.

We have added a new ‘Employer Signoff Required’ checkbox under the enrolment data in the Enrolments and Results section.

If this box is ticked in the enrolment data section and a sign off date NOT completed you will not be able to generate a qualification/record of results until the Employer Sign Off date has been recorded.

We also now have the option to customise the columns displayed in the Enrolments and Results participants. So if there are columns you don’t use such as LMS/Education Agent/Client Tags etc. you can toggle them off to match your needs.

Start date for units in Enrolments and Results window will now show as yellow if your student’s unit start date is before the expected start date in the enrolment data section.

You can now directly manage the Occupations List from Configurations > Application Options > Clients as shown below

Help Menu

We have changed the layout slightly and changed some icon images, the Bookmarks section now has compliance links, commonly used web pages and updated links for PowerPro’s social media and blog.

Coming Soon

New Moodle interface menus and other features to improve the functionality for our Moodle users.
