Welcome to 2022, 

This post celebrates the release of the major annual update, PowerPro 2022. We are looking forward to sharing the many changes and upgrades with all of you. 

 

In order to update to PowerPro 2022 please ensure you are logged in as RTOADM and that you are running PowerPro 2021 build 10 or higher. 

The Release and build are shown on the bottom left of the PowerPro main screen:

 


 

Once logged in, use the new Update to 2022 button found in the Update ribbon tab to update to PowerPro 2022:

 


And follow the prompts to complete the update.

What’s new in 2022?

PowerPro 2022 comes with significant new functionality and enhancements to the user interface. 

Here is a quick read summary:

  • Official release of PowerQR Parchment Validator

  • Support for tracking Covid-19 vaccination status. This field can also be captured on the online enrolment form.

  • Menu improvements, layout changes and search bar layout improvements

  • Improved Outcomes View (AVETMISS, Training Plan, RAPT)

  • Support Company Tags – set up your own tags to profile your client companies 

  • Support for Cross Course Attendance

  • Session Based Roll printing (which includes Cross Course Attendees)

  • Ability  to convert Client Invoices to Company Invoices and vice versa

  • Continuous Improvement register window redesign - including new priority flags

  • Web plugin improvements

  • New Course Progress Matrix view

  • Training Plan – introduced unit sorting field

  • Unit Outcome Flags - flag specific unit results with predefined colour coded flags 

  • Improved filtering of special characters upon data entry and data import (will help with future data reporting) 

  • Support for the new SVTS (Victoria) reporting fields

  • Improved RAPT reporting by adding a Summary view similar to the one available in TAMS

  • Subject completion tracking added to background stats window

  • New Course Feedback Summary Report

  • Optional Two Factor Authentication - for PowerPro Sky only

  • Other small improvements

PowerQR Parchment Validator

PowerQR is a subscription-based add-on module of PowerPro RTO.  Briefly, each AQF parchment will include a QR code which once scanned (by an employer for example) opens a web page validating the document.

PowerQR streamlines the AQF document validation process by eliminating the need for the employer to contact the RTO.  The PowerQR document validation page includes the RTO logo, RTO code as well as contact details.

There is a PowerQR dedicated section on the PowerPro FAQ. This section can be accessed using the Help >Frequently Asked Questions menu path.

COVID-19 Vaccination Tracking 

Based on direct feedback in late 2021 from RTO’s and within relevant industry we have added the ability to track the vaccination status of your students if it is required. 

By default this will be disabled.

The RTO can choose to enable vaccination status via the Application Options screen then clicking on the Enrolments tab and ticking the Track Covid-19 Vaccination Status check-box.  See screenshot below.  Note that a restart of PowerPro will be required.

If you subscribe to the web plug-in, you can also choose to capture it on your online enrolment form.  This can also be done in the Application Options screen under the Web tab.

Search, Button and Layout Refinements 

In an effort to optimise search functions, standardise buttons and streamline menus, a number of changes have been made to refine these areas within PowerPro.  The overall functionality remains the same however the changes will make it easier to find what you need as the actions are now better categorised.

 

Scheduled Session – Cross Course Attendance 

Training Sessions are used to track Client  Attendance in PowerPro RTO. Historically a Client could only be attached to Training Sessions “belonging” to the Client Course. To improve the usability of the Attendance subsystem, PowerPro 2022 enables Clients to be attached to Training Sessions scheduled for other Courses.

Enrolment and Results Drop-down Menu Improvements

The Outcomes & Dates window has had all its views updated and streamlined. 

Outcomes – Streamlined column order

AVETMISS – Brand new view. Useful for AVETMISS reporting insights 

RAPT – Streamlined and new data columns 

Training Plans – Streamlined and new data columns 

Qualification Rule – Streamlined



To assist AVETMISS reporting troubleshooting, a new AVETMISS view displays a snapshot of the NAT00120 data file for the current Enrolment:

Invoice Type Conversion

There are times where the Invoice type needs to be altered - from a Client Invoice to a Company Invoice and vice-versa. 

PowerPro 2022 introduces these Invoice conversion actions: 

Client -> Company Invoice
Company -> Client Invoice

To convert an Invoice use the “Invoice Actions” drop-down menu within the Invoice window:

Web Plug-in Changes and Improvements 

New Domain

Throughout 2022 we will be in touch to migrate your web plug-in across to our brand-new domain (web.powerprorto.com.au).  

Client Vaccination Status 

Support has been added to capture a client’s vaccination status on the online enrolment form.  By default it is not enabled but can be done so via the Application Options screen:


PowerQR Client Consent 

If your RTO subscribes to the PowerQR Parchment Validator, the PowerQR usage consent field will be displayed at the end of the enrolment form:


“I allow RTO NAME to store my AQF Certificate/Parchment data on the PowerQR Document Validation system for document validation purposes. “

Enrolment Form Data 

The form data submitted by the student can now be viewed using the new “View Web Registration” button. This button is found in Enrolments and Results under the Enrolment data tab - as per image below. This can be useful to confirm data submitted online by the Client.



Course Web Sync Audit Trail 

The last improvement in this section is a simple audit trail to the Course Web Sync action. A link in the background dashboard window shows the last upload date/time and opens a window listing the latest Course Web Sync actions taken: 



Training Plans – Unit Sorter Indexing 

A new “Sorter” field is used to sort the Units in the Training Plan document. This field is set at the course level (Home>Accredited Courses) and applies to all enrolments in the Course.  Double click on a specific Unit in the Course Units section and update the T. Plan Sort index field as required.





Note: The T. Plan Sort index is propagated to the new Course when using the Clone Course function.

RAPT Reporting – new CPS summary screen (WA only) 

As part of the RAPT file generation process, PowerPro 2022 introduces a summary view of the data being reported. It is a breakdown of Students grouped by CPS. This view is similar to the one available in the TAMS and will assist users troubleshooting lodgement issues.

Unit Outcome Flags 

Flags can now also be set up and placed against unit outcomes.  This might be appropriate if there is a business requirement that arises to flag anything for a student’s unit such as:

  • Awaiting RPL documents

  • Credit transfer from other RTO

  • Any actions not captured in Workflow

  • Any other Exceptions

Company/Organisation Tags 

Similar to the existing Client Tags, RTO's can now create company tags and assign these to Client Companies/Organisations.  Further functionality for company tags will be added during 2022.

 Company tags are configured in Application Options>Companies>Company Tags.  


Continuous Improvement Register 

The Continuous Improvement register has received a visual update and a new priority field has been introduced:

HINT: There is a built-in compliance report that captures Continuous report data.

Course Progress Matrix View 

PowerPro 2022 introduces a new Unit progress matrix. This is a tabular layout showing the list of Clients and a colour coded completion status of their Units. 

To access the Course Progress Matrix use the Enrolments>Actions>Completion>Progress Matrix menu path:

PowerPro Web Plugin 2024 - 29/1/2024   Changes in WP 2024 The two phase enrolment process for paid enrolments used to generate two enrolment files and two RTO notification emails per enrolment.This has been streamlined with WP 2024 as detailed below. Some Payment integrations were updated to comply with the latest API provided by the Payment Gateway providers.  The BPOINT Payment Gateway is now supported.  Once PowerPro 2024 is released, RTOs can configure courses with a %100 discount code.
